The Community Foundation is a trusted and knowledgeable partner for sound financial management, administration, and distribution of charitable funds.  Established in 1982, &lt;span class=&quot;caps&quot;&gt;GTCF&lt;/span&gt; is and a medium sized community foundation experiencing rapid growth.&lt;/p&gt;&#10;&#10;&#9;&lt;p&gt;As part of the staff of The Greater Tacoma Community Foundation, the Office Manager works as part of the team, to ensure the timely and efficient operation of a smooth office.  The Office Manager must provide excellent customer service, administrative support and overall general office management duties. This position reports to the Executive Assistant.&lt;/p&gt;&#10;&#10;&#9;&lt;p&gt;Primary Duties:&lt;br /&gt;&#10;Answers phones and greet visitors (donors, committee members, grantseekers, etc) to The Greater Tacoma Community Foundation. &lt;br /&gt;&#10;Demonstrates excellent customer service towards all our visitors and volunteers to be sure they feel welcome. &lt;br /&gt;&#10;Collect, open, sort and distribute mail daily. Postage and maintain outgoing mail.&lt;br /&gt;&#10;Assist in maintaining back-up of computer data.&lt;br /&gt;&#10;Deliver computer back up disk to bank daily.&lt;br /&gt;&#10;Data entry and data base management.  &lt;br /&gt;&#10;Updates Profiles (volunteers, individuals and agencies/business). &lt;br /&gt;&#10;Help maintain/update e-mail addresses for e-newsletter&lt;br /&gt;&#10;Record all gift entries and produce acknowledgment letters. &lt;br /&gt;&#10;Responsible for daily deposits to bank&lt;/p&gt;&#10;&#10;&#9;&lt;p&gt;General office management: &lt;br /&gt;&#10;Purchasing, organizing and keep inventory on office supplies. &lt;br /&gt;&#10;Organizing electronic shared file folders-Scanning and saving documents in appropriate electronic files. &lt;br /&gt;&#10;Filing management : Set up new files, file all correspondence, archive files-schedule pick up, maintain archive spreadsheet and website. &lt;br /&gt;&#10;Responsible to make maintenance calls- technology maintenance and building maintenance. &lt;/p&gt;&#10;&#10;&#9;&lt;p&gt;Prepare for Community Foundation meetings:&lt;br /&gt;&#10;Order lunches or appetizers. &lt;br /&gt;&#10;Set up beverages (coffee, soda and water) &lt;br /&gt;&#10;Post-meeting clean up. &lt;br /&gt;&#10;Assist in providing printed materials for meetings. &lt;br /&gt;&#10;Set out committee name tags.
